The Pack Language Experience –
Terms and Conditions

(In the event of any discrepancy or inconsistency between the English version of these Terms and Conditions and other translations, the English version shall prevail)
These terms and conditions (terms) explain the language immersion trips, either in Scotland or Spain, that we offer to you, the person accepting these terms. If you are interested in joining a trip, you can request a brochure with more information.
I’m Adrian Lago, trading as The Pack Language Experience (The Pack LE) of 15/17 Rossie Place EH7 5SE Edinburgh (we or I). If you need to contact The Pack LE, please email info@thepacklanguageexperience.com.
By accepting these terms and reserving and booking a place on any of our trips, you agree to these terms. By accepting these terms and making payment for a trip, you create a legal contract between you and The Pack LE.
It’s possible we may update these terms from time to time, so please check back regularly and check the date at the top of this page.
1. The language immersion experience
The Pack LE provides a range of immersive language holidays.
Our language holidays include:

Language course: 12-hour English course (Edinburgh Pack), 12-hour Spanish course (Madrid and Asturias Packs), 10-hour Spanish course (Andalusia Trail) and 8-hour Spanish course (Sierra de Guadarrama Pack and Spanish Language Trail).

Accommodation in double en-suite rooms for single use is included in the following destinations: Asturias Pack, Sierra de Guadarrama Pack, Spanish Language Trail and Andalusia Trail. Madrid and Edinburgh Packs: accommodation can be arranged if required. Breakfast is included in the price if the accommodation is booked with The Pack LE.

Two special dinners (typically welcome & farewell) and daily lunches for 6 days in selected restaurants with drinks included.

Welcome pack and learning materials.

Recreational and cultural activities organised by The Pack LE.

Expert local guides for tours and excursions.

Entrance tickets to museums and other venues.

Transport for all outings organised by The Pack LE.

Full support from the organisers throughout your holiday.
Our language holidays do not include:

International and domestic flights or otherwise to and from the Pack destination.

Transfer service to or from the airport or otherwise, unless arranged separately for an additional cost.

Travel and health insurance (as explained in more detail at clause 5 below).

Dinners, except for the two special dinners included in each Pack, and any other food or drink items not expressly stated as included.
2. Booking and payment
Bookings are made on this website, here. You must complete the pre-booking form and wait for a confirmation email that the trip will go ahead.
Do not purchase flights, other travel tickets, or book any accommodation until we confirm the trip. Each trip requires a minimum number of participants. Completing a pre-booking form does not confirm your place. Your place is only confirmed once you receive an email from us stating that the trip will proceed. Only then can you make any travel arrangements.
After we confirm that the trip will go ahead, you must pay a first payment consisting of a non-refundable £50 (booking/admin fee) plus £850 deposit per person. This confirms your place and forms part of the Pack price. The remaining balance must be paid a minimum of 15 weeks prior to the trip start date. If you book your Pack within 15 weeks of the trip start date, we will require the full cost of the Pack up front. Payments will be made by bank transfer. If the full payment is not made by the deadline set out in the quote, your reservation will be cancelled, and you will forfeit the non-refundable deposit. Please note that prices may be subject to change due to currency fluctuations.
3. Cancellation by you
You may cancel your booking at any time; however, the following refund policy will apply:

4. Cancellation by The Pack LE
If your booking must be cancelled for operational reasons, such as for circumstances outside our control or where the minimum number of bookings is not met for a trip, all payments you have made to The Pack LE will be refunded within 30 days. If the trip needs to be postponed or cancelled due to any event beyond our control, you will receive a full refund for the cancelled trip.
5. Your responsibilities
Flights and travel arrangements: You are responsible for arranging your own travel, including flights and transfers, at your own cost. This is excluded from the cost of the trip.
Passport and visa: It’s your sole responsibility to ensure you have a valid passport with at least six months left from the date of your return to the UK (or your home country) and that you obtain a visa that is granted for the duration of the trip (if necessary). We strongly recommend that you regularly check with the relevant embassy to make sure there are no recent changes that might affect your visa. It’s your responsibility to ensure you have the correct entry documentation.
Travel insurance: Travelling without insurance is unnecessarily risky. You are required to have comprehensive travel insurance that covers trip cancellation, evacuation, medical expenses, personal belongings, and any activities during the trip, although please note that no activities will be sporting activities but may include dancing, trekking and/or walking. We are not responsible for any incidents or issues arising from your failure to arrange adequate insurance.
Please, remember that you are required to arrange adequate holiday insurance or independent traveller protection on your own behalf.
Personal belongings: You are responsible for your luggage and personal items throughout the trip. When your baggage is stored on vehicles or in accommodation, it is at your risk and it is your responsibility to make sure they are correctly and safely stored. We cannot be held liable for lost, stolen, or damaged belongings.
Health and safety: It is your responsibility to ensure that you are physically fit for the trip. We strongly recommend that you consult with a medical professional before you travel and to seek their advice about any inoculations and/or medicines you may need. If you have any pre-existing medical conditions (including any mental health issues) that could affect your ability to participate fully in the trip, you must tell us at the time of reserving your place.
Food and drink: If you have any allergies, food intolerances and/or dietary requirements, you must let us know so that provisions can be made.
Emergency contact: You will need to provide us with your emergency contact, and we reserve the right to contact them if we are concerned about your welfare, or the welfare of others during the trip.
Behaviour: It is essential that during the trip you treat all those you encounter with kindness and respect and, in particular, adhere to all local customs. If you are deemed by us to act inappropriately, you will be asked to stop. If that inappropriate behaviour continues despite warnings, you will be asked to leave the trip, and we are not liable to you for the consequences of this, and you won’t be entitled to a refund.
For the avoidance of any doubt, inappropriate behaviour includes (but is not limited to) verbally abusive, aggressive or violent behaviour, the excessive consumption of alcohol, drug use, sexual harassment, including sexual comments and unwanted physical contact, and any behaviour that intimidates, offends or humiliates a person because of their personal characteristics such as age, race, gender, disability, religion or sexuality.
6. Photography and video
We may take photographs and short video clips during the trip for the purpose of documenting the experience. We will always ask for your consent before using any images or footage of you for promotional purposes, including on our website or social-media platforms, for example, on Instagram, Facebook, or X (Twitter).
If you do not wish to be photographed or included in promotional material, please let us know in advance and remind us at any time during the trip – we will ensure your preference is respected.
7. Participants under the age of 18
Packs are open to participants of all ages, but unless otherwise agreed in writing by The Pack LE, a participant who is under the age of 18 at the start of the trip must:

be accompanied at all times by a parent or legal guardian; or

have in place, prior to the programme start date, a recognised guardian arrangement approved by us, and a signed parental/guardian consent form.
For the purpose of this clause, a “guardian” means an adult (aged 18 or over) who is appointed by the participant’s parent or legal guardian, and who will be responsible for the participant during the programme and for the participant’s welfare and attendance.
If you are under the age of 18, you agree to provide The Pack LE with such consent forms, contact details and documentation about the guardian or accompanying adult as may reasonably be required. We reserve the right to refuse participation or terminate your involvement in the trip if your guardian or parental arrangements are not, in our view, satisfactory, and in that case, we will apply the cancellation provisions under clause 3.
You acknowledge that your parent or guardian remains responsible for your welfare.
8. Confidentiality and Privacy
Privacy and protection of your personal data are important to us. Your personal data is protected as set out in the privacy policy, which is available on this website at Privacy Policy – The Pack Language Experience.
During the trip, you may have access to any confidential information, in particular relating to The Pack LE, or confidential information of other trip attendees. You agree that you won’t use or disclose to anyone else’s any confidential information that you receive.
9. Disclaimers and Risk
No travel agency role: We are not a travel agent, and we are not responsible for any travel-related issues, including flight delays, cancellations or problems with accommodation. Although we can provide information about flights and other transport options to assist you in arranging your travel to and from our trip destinations, and may, if requested, help arrange private transfers, we are not responsible for any aspect of this transport before or after the trip, including any changes, delays or cancellations. We can advise and assist you in organising your travel, but we do not accept any responsibility or liability for these arrangements.
Accommodation: No refunds or compensation will be provided if you are dissatisfied with the accommodation or facilities.
Risk disclaimer: You acknowledge that travel, including visiting workshops, factories, and local communities, involves inherent risks, such as illness (e.g. food poisoning), pickpocketing, scams, or other unforeseen events. We are not liable for any injuries, illnesses or losses you may incur during the trip.
Some activities and excursions involve travel by private or public transport, and delays or disruptions may occur. We are not liable for any delays or disruptions that may occur while using transport of any kind.
Pack activities: Activities and excursions may vary according to availability, demand and unforeseen circumstances. We reserve the right to withdraw or modify the arrangements advertised where necessary. In such cases, we will endeavour to provide a suitable alternative.
10. Our legal responsibility
We will endeavour to ensure that the Pack that you book is as described.
We assume no liability for any direct or indirect losses or damages that may result from your booking or attendance on a trip, including, but not limited to, economic loss. Nothing in these terms shall exclude any liability under the law that cannot be excluded, including death or personal injury caused by negligence.
We will provide information to you about your Pack, and it is your responsibility to check this information carefully, as things can change and any errors or omissions are inadvertent and we cannot be held responsible for them, other than to refund you for any services which you have not received as a direct result of my negligence. As summarised in clause 11 below, we cannot be held responsible for changes made to your trip as a result of weather, political or terrorist threats or other events beyond our control.
We are not liable to you if you become injured, hurt or ill during the trip, and we shall not be responsible if you contract any illness, disease or infection during the trip, which shall include your journey to and from the trip.
Our liability to you is limited to the total Pack fees paid by you to us.
If you have any issues during your trip, please raise this with us immediately and we will do what we reasonably can to resolve this for you. If your complaint cannot be resolved during the trip, please contact us by email setting out your complaints when you return and we will process this accordingly.
11. Force majeure
If we have to cancel or make major changes to the trip because of events beyond our control, we won’t be liable to refund your total cost or pay you compensation. These events can include, but are not limited to: war, the threat of war, civil strife, epidemic, pandemic, terrorist activities or the threat of terrorist activities, acts of governments or local authorities, strikes, industrial disputes, demonstrations, natural disasters, unnatural disasters such as explosions, or any similar event which is outside our control or the control of our suppliers.
We will always follow the advice issued by the UK’s Foreign and Commonwealth Office (FCO). If the FCO issues an advisory against all travel to and within Spain or the UK, we will do our best to refund you as much as we can claim back from our overseas suppliers on your behalf.
It is possible that we might need to make changes to the trip once your booking is confirmed or you have already departed, for a number of reasons, depending on circumstances. You acknowledge that travel can involve delays and other issues due to the nature of the country or the transportation infrastructure. Once you are on the trip, changes will only be made if it concerns your personal safety or convenience, and there will be no refund for any activities or other parts of the trip which you might miss as a result of these changes.
12. General legal terms
Notices: If either you or we need to serve notice on the other, this needs to be by email. For us, it’s info@thepacklanguageexperience.com, and we’ll serve notice to the email address we have on file for you. The time of delivery is the time of transmission. This doesn’t apply to the service of legal proceedings, which can’t be validly served by email.
No waiver: If we don’t take action against a violation of these terms, it doesn’t mean we give up our right to take action in the future. We can still take action if the same or another violation occurs in the future.
Severance: If any part of these terms is found to be illegal, invalid or unenforceable, that part will be removed from the terms, but the rest of the terms will still apply and be valid.
Entire agreement: These terms and any other document mentioned in them make up the complete agreement between The Pack LE and you about what they cover. These terms cancel and replace any earlier agreements, promises, or assurances made between us and you about what they cover.
Third party rights: No one other than you and we have any rights under these terms.
Applicable law: We’ll follow Scots law for these terms and any related legal obligations. If there are any disagreements or claims related to these terms, they’ll be handled exclusively in the Scottish courts.
